This one-hour preparation session gives us focused time before the meeting to work through what’s important, organise your thoughts and make sure you’re clear about what you want to ask, discuss and achieve.

WHEN THIS CAN HELP
It’s easy to leave a meeting wishing you’d said something.
Even when you know your child better than anyone, it can be difficult to organise everything you want to say in a meeting. There might be a lot of information to take in, several people around the table and only so much time to cover what matters.
Preparing beforehand means you don’t have to work all of that out while the meeting is happening.

WHAT THIS SERVICE IS
What does meeting preparation involve?
This isn’t about rehearsing a script or telling you exactly what to say. It’s about giving you focused time before the meeting to step away from all the paperwork and think clearly about what matters for your child.
We’ll look at the information you already have, what’s happened since the last review or meeting, what’s working well and anything you’re concerned about. From there, we’ll decide which points really need to be discussed and what you’d like to understand, ask or clarify.
We’ll also think about the meeting itself- the questions you want to ask, anything you need to explain and the outcomes you’re hoping the conversation will lead to.
The aim is simple: when the meeting starts, you already know what matters most to you and your child.

Every meeting will be different. What we focus on will depend on your child, the purpose of the meeting and what’s happened since you last sat down with school. We won’t try to prepare for every possible conversation. We’ll work out what matters most for this one.

What does it actually say?
Plans and reports can contain a lot of information. We’ll look at the key documents you’ve received and identify the parts that are most relevant to the meeting.

- Support and provision that’s already documented
- Recommendations from other professionals
- Anything that’s changed since the document was written
- Points you want to understand or clarify

The aim isn’t to make you sound like an expert in SEND. It’s to help you go into the meeting knowing your child, your priorities and your questions, and feeling able to take part in the conversation.
We’ll prepare around the information available to us. This service doesn’t provide a legal review of an EHCP or determine what a school or local authority must provide.

A little preparation beforehand means we can make much better use of our hour. I’ll ask you for some information about the meeting and the key paperwork you want us to consider.
By the end of the session, you’ll have your priorities, questions and key points organised and ready to take into the meeting.
Before we meet
When you book, I’ll ask you what the meeting is for, when it’s happening and what you’d most like help preparing for.
You can send me the key documents that are directly relevant to the meeting. For an EHCP Annual Review, that might include the current EHCP and review paperwork. For a SEND Support Review, it might be your child’s current support plan alongside another particularly relevant piece of information.
You don’t need to send me a bundle of documentI’ll look through the relevant information before we meet so that we can use our hour to prepare rather than simply reading paperwork together.
During the hour
We’ll work through the meeting together, starting with what’s happening for your child now and anything important that’s changed.
We’ll identify the points you most want to raise, prepare the questions you want to ask and think carefully about what you’re hoping the meeting will achieve.
If there’s a lot to cover, I’ll help you prioritise it so that the most important things don’t get lost.
This is your preparation session, so we’ll spend the time on the things that matter most to you and your child.
After our session
I’ll send you a concise, personalised meeting preparation summary based on the work we’ve done together.
It will capture your key priorities, the points you want to raise, the questions you’ve prepared and the things you want to make sure are clarified during the meeting.
Something simple enough to have beside you when the meeting actually happens.
What’s included in the £95?
£95 covers the preparation, 60-minute session and personalised Meeting Preparation Summary described above. There are no additional charges unless you choose to book further support.
I’ll normally send your Meeting Preparation Summary within two working days of our session. Please leave enough time between your preparation session and the school meeting for me to send this to you.

Using your summary in the meeting
Your Meeting Preparation Summary isn’t a script. You don’t need to work through it line by line or make sure you say every word you’ve prepared.
Keep it beside you as a prompt. If the conversation moves quickly, you can use it to check whether the important things have been covered and remind yourself of questions you still want to ask.

- Check your important points have been discussed before the meeting ends
And if the meeting takes an unexpected turn? That’s okay. The summary is there to support you, not restrict the conversation. You can listen, respond and ask new questions as they arise- while still having your original priorities there to come back to.
SCHOOL-SIDE EXPERIENCE
I’ve sat in these meetings too.
I’ve spent 15 years working in schools as a teacher, SENDCO and senior leader. During that time, I’ve been part of plenty of meetings with families about SEND, support, progress and what needs to happen next.
I’ve seen meetings where everyone leaves with a shared understanding and a clear way forward. I’ve also seen how easily important points can get lost when there’s a lot to cover, the paperwork takes over or people come into the room with different priorities.
That experience shapes how I’ll help you prepare. I’ll be thinking not only about what you want to raise, but how you can make your points clear, ask useful questions and keep the conversation focused on your child.
I also know that school staff may bring information or perspectives you haven’t heard before. Preparation isn’t about deciding exactly how the meeting should end before it starts- it’s about helping you take part confidently while staying open to the conversation.
